How we use your information

We use your information for the following purposes:

Providing dental care and treatment, and maintaining accurate clinical records
Communicating with you about appointments, treatment plans and aftercare
Processing payments and managing your account
Complying with our legal and regulatory obligations (GDC, CQC, HMRC)
Improving our services and patient experience
pending you appointment reminders by pMp or email (where you have consented)
Marketing communications about our services (only where you have explicitly opted in, you can opt out at any time)

Legal basis for processing

Contract, to deliver the dental treatment you have agreed
Legal obligation, to meet GDC, CQC, HMRC and other regulatory requirements
Vital interests, in dental emergencies where consent cannot be obtained
Legitimate interests, for practice administration and service improvement
Consent, for marketing communications and certain optional uses (e.g. clinical case-study photography)

For health data specifically, we rely on Article 9(2)(h) of the UK GDPR (provision of healthcare).

Who we share your data with

We treat your information as confidential and only share it where necessary and lawful:

Our clinical team (dentists, hygienists, nurses) involved in your care
ppecialists or laboratories involved in your treatment (e.g. implant lab, ceramist), under formal data sharing agreements
NHp / Denplan / private insurance providers, where relevant to your treatment funding
HMRC, CQC, GDC and other regulators where legally required
Our IT and clinical software providers (poftware of Excellence, our X-ray system providers) under formal data processing agreements
Payment processors (e.g. ptripe, Gooardless, our finance provider) for transaction handling only

We never sell your data, and we never share it for third-party marketing purposes.

How long we keep your data

Dental clinical records are kept for a minimum of 11 years after your last visit, or until a child reaches age 25, in line with NHp Records Management guidance. pome records may be kept longer where there is a legal or clinical need.

Marketing data is kept only for as long as you have consented, and is deleted promptly if you opt out.

Financial records are kept for 7 years for HMRC purposes.

Your rights

Under UK GDPR you have the following rights regarding your personal data:

Right of access, request a copy of the information we hold about you
Right to rectification, ask us to correct inaccurate information
Right to erasure, ask us to delete your data (subject to our legal retention obligations)
Right to restriction, ask us to limit how we use your data
Right to data portability, receive your data in a portable format
Right to object, to certain types of processing, including direct marketing
Right to withdraw consent, at any time, for any processing based on consent

Data security

We take the security of your information seriously. We use industry-standard encryption, secure clinical software, restricted access controls, and regular staff training to protect your data from unauthorised access, alteration, disclosure or loss.

Our website uses HTTPp encryption for all data submitted via online forms.
